Case study: a custom system for Barray Alliance

A ranger safety, rostering and reporting system we designed and built for a Taree and Forster organisation.

We also built their website and look after their IT.

The challenge. Barray Alliance is an Aboriginal-led organisation working across Worimi, Biripi and Birpai Country, with ranger crews out on Country every day. They needed daily safety briefings, site inspections, rosters, equipment and field records in one system, used by rangers in the field and coordinators in the office, with the records ready for reviews and funding reports.

What we did
  • Designed and built a custom system around how their ranger teams actually work, from the morning briefing to the final report.
  • A guided daily job safety analysis (JSA) that records who attended, changed conditions and agreed controls, lets the crew put work on hold, and keeps the signed briefing on record.
  • Site inspections that record each hazard, the control in place and who owns the follow-up action, so outstanding actions stay visible to the team.
  • Weekly rostering that assigns rangers and equipment to jobs, so everyone knows where they are working and with what.
  • Field notes and photo evidence kept with the job they belong to.
  • A records archive that coordinators and managers filter by record type, worker, job, date and signature status.
  • Works on a phone, tablet or computer, so rangers fill it in on the spot and managers review it from the office.

Safety, rostering and field records in one place, and the reporting for reviews and funding ready when it is needed. It worked so well that we built it into our own product, Ranger Manager, for other ranger organisations.

From custom build to product

The Barray build became Ranger Manager

What started as software for one client is now our own product for Aboriginal companies and not-for-profit ranger organisations, with daily JSAs, site inspections, rostering and reporting. The same team that builds your system supports it after launch.

What we build for Taree and Forster businesses

Start with the problem you want to solve. We will tell you honestly whether it needs custom software or whether something off the shelf will do.

Custom CRMs

Customers, jobs, quotes and follow-ups in one place, set up the way your business actually sells and delivers, instead of bending to an off-the-shelf CRM.

Forms and workflows

Replace paper forms, spreadsheets and email chains with step-by-step workflows, sign-offs and records that are easy to find later.

Apps for staff in the field

Checklists, inspections, photos and job notes on a phone or tablet, synced back to the office.

Customer and staff portals

Give customers or staff a secure place to log in, see their jobs and documents, and send requests.

Dashboards and reporting

Pull your numbers into one view, and produce the reports funders, boards or auditors ask for without a week of copying and pasting.

Connecting your systems

Link the software you already use, including Microsoft 365 and SharePoint, so information is entered once and flows where it is needed.

Custom software in Taree and Forster: common questions

Do you build custom CRMs for businesses in Taree and Forster?

Yes. We design and build CRMs and business systems around how your team actually works, and we are local to Taree and Forster so we can sit down with you in person.

Should we use an off-the-shelf CRM or a custom one?

If a standard product fits how you work, use it and we can help set it up. Custom software makes sense when your process is specific, like a ranger safety system or a job workflow that off-the-shelf tools force you to work around.

Can staff use it on a phone out in the field?

Yes. The system we built for Barray Alliance is used on phones and tablets in the field and on computers in the office.

Can it connect to Microsoft 365?

Yes. We look after Microsoft 365 and SharePoint for many local businesses, and can connect a custom system to the tools you already use.

How much does custom software cost?

It depends on the scope and features. Tell us what you need and your budget, and we will suggest a practical approach before any development starts.

Who looks after it once it is built?

We do. The same local team that builds it supports it, fixes issues and adds features as your business changes.

Got a process that has outgrown spreadsheets?

Tell us what you are using now and what is getting in the way. We will talk through whether a custom build, an existing product or a simple fix is the right answer.
